At Apprentx Inc., we place great importance on protecting personal information. This policy explains, in plain terms, how we collect, use, disclose, retain and protect personal information when you use the B12 application.

It is intended for partners, employees, designers, trainers and managers of the client organizations that use the B12 application in Quebec, Canada and the United States.

How we collect your personal information

We collect your personal information through:

  • The B12 application, when you create or use an account;
  • Information provided by your employer (administrator of B12) when your profile is created;
  • Cookies, connection logs and other technical tools used for authentication and security.

Our servers are hosted on Google Cloud Platform, located in Canada.

The personal information we collect and how we use it

Categories of information

  • Identification: first and last name, email address, phone number (optional).
  • Technical: IP address, cookies, connection logs, actions performed in the application.
  • Organizational: additional fields set by your employer, who is the administrator of the B12 application.

Purposes We use this information only to:

  • Create and manage your account;
  • Ensure your authentication and access;
  • Provide technical support;
  • Manage billing;
  • Measure usage and engagement with features;
  • Inform you in the event of downtime, maintenance or updates.

We do not use your information for advertising or marketing purposes.

Who has access to your personal information

Internally, only authorized Apprentx Inc. employees have access to your information, according to their role (technical support, billing, security).

Externally, your data may be processed by:

  • Google Cloud Platform (hosting in Canada).

No data is shared with third parties unless required by law.

Data security and retention

  • Your data is encrypted at all times (in transit and at rest).
  • Access is restricted to authorized personnel.
  • We comply with ISO 27001 certified standards (certificate provided on request).
  • Your data is retained according to the terms established with your client organization, and for a maximum of five years unless otherwise requested.

Your rights

In accordance with Law 25 and applicable laws in Canada and the United States, you have the right to:

  • Access the information held about you;
  • Correct or update your information;
  • Request deletion or portability of your information;
  • File a complaint regarding the protection of your personal information.

Use of generative AI in B12

Definition and scope Generative AI refers to tools capable of producing text or images from data uploaded into B12. We may use these tools to improve the efficiency of certain features. Users remain responsible for the content, whether it is generated by a human or by AI.

Data and privacy To protect your information, you must not enter personal, sensitive or confidential information. Uploaded data could be stored or reused by generative AI systems. Our architecture limits this risk and does not use your data to train the models.

Quality and reliability of generated content Automatically generated content may be incomplete, inaccurate, biased or infringe copyright. Before using it, you must check, correct and validate AI responses.

Usage restrictions The generative AI functions of B12 are strictly limited to low‑risk tasks (content drafting, image creation, personalized recommendations, etc.). We do not use these tools to:

  • Make business decisions;
  • Provide paid professional advice.

Training, oversight and continuous improvement Our teams receive specific training on the operation, limitations and risks related to AI. We conduct regular audits to check the accuracy and security of generated content. We are committed to monitoring changes in laws and updating this clause when needed.

Data management and retention Inputs and outputs related to generative AI functions are processed in accordance with this policy. Unless explicit consent is obtained, your data will not be used to train our models.

Policy updates

We review this policy regularly to ensure it remains compliant with applicable laws and our practices. Any significant changes will be communicated to you via the application or through your organization.
